Description
JSI Research & Training Institute, Inc. (JSI) is a public health management consulting and research organization dedicated to improving the health of individuals and communities throughout the world over the last forty years. JSI is currently seeking an Administrative Assistant in Indonesia for the USAID-funded Country Health Information System and Data Use (CHISU) global cooperative agreement. This is a full-time position located in Jakarta, Indonesia.
CHISU is a project designed to enhance host country capacity to produce high-quality health information, to optimally manage this information, and to institutionalize evidence-based decision-making. The project works with USAID, supporting host country health managers, health workers, and other stakeholders to strengthen the enabling environment of health information management and strategic planning to: improve harmonization of fragmented information systems, reduce duplication of data collection, and improve monitoring and tracking of a country’s own health trends and priorities. The Administrative Assistant will work closely with the CHISU project Finance and Operations team providing support to the locally based technical, managerial, finance, operations and administrative staff, to ensure that CHISU Indonesia operations and activities function efficiently. The Administrative Assistant will work under the supervision of the CHISU Indonesia Finance & Operations Manager based in Jakarta.
RESPONSIBILITIES
Assist the Finance and Operations team to coordinate and arrange logistics for all project activities including securing venues and catering, payments for participants, and activity documentation.
Assist the Finance and Operations team to ensure smooth operations of the CHISU Indonesia office in Jakarta and provide support to embedded technical advisors and regional technical coordinators.
Assist the logistics Finance and Operations team to coordinate and arrange all international and domestic travel, accommodation, ground transportation and other logistical arrangements for staff and consultants.
Translate regular reports and technical documents.
Responsible for and manage the admin monthly advances and petty cash to support all office support needs.
Support operations team with inventory management, record, and file management for all office, human resources and other administrative needs.
Assist the Finance and Operations team with temporary working permit (KITAS) and Business Visa for International staff.
Assist the Finance and Operations team with procurement, including solicitation of bids, quotations analysis and collection of payment documentation.
Assist the Finance and Operations team with scanning payment voucher and supporting documentation as required.
Assist the Finance and Operations team with filing and recording financial transactions as necessary.
Other duties in line with the overall focus of the position, as assigned by the Finance & Operations Manager.
QUALIFICATIONS
A Bachelor’s degree and a minimum of 2 years work experience in the field of management, finance, international development, or business, including relevant in-country experience.
Ability to work independently with minimum supervision in a fast-paced environment is required.
Excellent written and verbal communication, analytical, decision making, problem solving, and administrative skills are required.
Computer skills included in MS Office (minimum of Word and Excel experience), and Internet are required.
Work experience with USAID is desirable.
Excellent organizational skills and attention to detail are required.
Native/Fluent Bahasa and practical knowledge of English are required.
Salary commensurate with experience.
