Overall Job Objectives

INITIA Group is seeking a dynamic and detail-oriented Project Coordinator to support outlet operations and coordinate construction, renovation, fit-out, and business development projects across our Wellness and F&B brands in Indonesia.

The role will support project planning, timeline monitoring, vendor coordination, and execution to ensure projects are delivered on time, within scope, and according to company standards. The ideal candidate should have experience in construction, fit-out works, commercial kitchen equipment, Mechanical & Electrical coordination, and project management within a F&B environment.

Core Responsibilities

• Coordinate outlet renovation, fit-out, construction, and commercial kitchen equipment installation projects from planning to handover
• Coordinate with contractors, designers, consultants, M&E teams, and kitchen equipment suppliers to ensure project requirements are met
• Support review and coordination of M&E drawings, kitchen layouts, equipment specifications, and installation works
• Monitor project progress, workmanship quality, safety compliance, and site activities through regular inspections
• Prepare and maintain project schedules, cost estimates, progress reports, and documentation
• Coordinate procurement of materials and commercial kitchen equipment with suppliers
• Identify project risks, delays, and issues while recommending practical solutions
• Support budget monitoring and ensure projects are completed within approved scope, timeline, and cost
• Maintain project records including permits, approvals, drawings, and contractor/supplier documentation

Job Specifications

• Diploma or Bachelor’s Degree in Project Management, Construction Management, Architecture, Interior Design, Engineering, Business Administration, or related field
• Minimum 1–3 years of experience in project coordination, construction, fit-out, retail, hospitality, or F&B projects
• Experience with commercial kitchen equipment coordination and supplier management is preferred
• Basic understanding of M&E drawings, kitchen layouts, and equipment installation requirements
• Proficient in AutoCAD, Microsoft Office, and project tracking tools
• Strong communication, coordination, and reporting skills
• Able to manage multiple projects and work independently
• Willing to travel between project sites in Jakarta and surrounding areas
• Professional proficiency in English and Bahasa Indonesia
• Hospitality or F&B project experience is an advantage

Key Deliverables

• Support timely completion of renovation and fit-out projects
• Ensure project execution remains within approved budget and scope
• Maintain accurate project schedules and status reports
• Ensure compliance with safety and operational standards
• Strengthen coordination between internal teams and external vendors
• Minimize project delays through proactive planning
• Maintain complete documentation for each project phase
